COMMUNICATIONS AND EVENT CORDINATOR (INTERNSHIP)

Role Purpose
An event coordinator must be well-organized and competent in vendor management. Communication skills and attention to detail will set apart the best among the candidates. The goal is to organize unforgettable events that will ensure the entertainment of participants and facilitate the completion of business objectives.
Key Responsibilities
Maintaining a working relationship with vendors and venues.
Organize and execute community events
Understanding the complex needs of different events, and diverse clients
Meet with members to work out event details, scout and book locations, food, entertainment, staff and cleanup.
Planning event aspects, such as venue, seating, dining, and guest list.
Handle office related tasks including answering phone calls, walk in visits, recording daily contact logs, responding to email requests for information, mailing out information and updating general information for members and volunteers.
Attentive to the value of staying under budget while planning event specifications. Issuing invoices and collecting payments in a timely manner, and creating comprehensive and readable financial reports.
Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and managing takedown.
Perform reception duties in an efficient, professional and courteous manner.
Answer visitor and member questions in a positive and welcoming manner.
Assist the Director with daily errands, which often times requires driving personal vehicle.
Maintain, organize and restock visitor center; ordering of office supplies, and performing routine organizational, maintenance and cleaning duties set forth by the Director.
Qualifications and Competencies
BSc in Communication and Events Management/ Administration/ Hospitality Management/ Public Relation
Proficient in MS Office
A proven track record of organizing successful events
Excellent vendor management skills
Knowledge of basic recruitment practicesOutstanding communication and negotiation ability
Well-organized with multi-tasking skills
Problem-solving ability
